Terms & Conditions

1. Booking & Payment

To secure your booking, a 50% deposit is required within 7 days of making your reservation.

The remaining balance, together with the refundable security deposit, is due 6 weeks prior to your arrival date.

For bookings made within six weeks of arrival, the full balance, including the security deposit, is payable at the time of booking.

Failure to make payments by the due dates may result in your booking being cancelled.

2. Breakage / Security Deposit

A refundable £50 security deposit is required with the final balance payment.

The deposit will be refunded within 14 days of departure, provided the pod has been left in good condition and there is no damage, excessive cleaning required or missing items.

We reserve the right to retain all or part of the deposit to cover:

  • Damage to the accommodation or its contents.

  • Excessive cleaning beyond normal use.

  • Missing or damaged furnishings, fixtures or equipment.

  • Lost keys or access devices.

  • Breaches of these Terms & Conditions.

If the cost of repairs exceeds the security deposit, guests remain liable for the additional costs.

3. Cancellation Policy

Should you need to cancel your booking, the following charges apply:

We strongly recommend guests take out suitable holiday cancellation insurance.

4. Check-in & Check-out

Check-in and check-out times are provided in your booking confirmation.

Early check-in or late check-out cannot be guaranteed unless agreed in advance.

5. Occupancy

The maximum occupancy for each pod must not be exceeded.

Only guests included on the booking may stay overnight.

6. Dogs

Well-behaved dogs are welcome only in our designated Classic Pods.

Dogs are not permitted in Premium Pods unless prior written permission has been obtained from Spey Bay Pods before arrival.

Guests bringing dogs agree to ensure that their pets:

  • Are never left unattended inside the pod.

  • Are kept under control at all times.

  • Are cleaned up after.

  • Do not damage the accommodation or furnishings.

  • Do not disturb neighbouring guests.

Additional cleaning or damage caused by pets may be deducted from the security deposit.

7. Smoking & Vaping

Smoking and vaping are strictly prohibited inside all pods.

Guests may smoke only in the designated outdoor areas and must dispose of cigarette ends responsibly.

Failure to comply may result in additional cleaning charges.

8. Care of the Property

Guests are expected to treat the accommodation with care and respect.

Any accidental damage should be reported as soon as possible.

9. Noise & Respect for Others

Spey Bay Pods is intended to provide a peaceful environment for all guests.

Please keep noise to a minimum, particularly between 10:00 pm and 8:00 am.

Parties, excessive noise or anti-social behaviour may result in guests being asked to leave without refund.

10. Visitors

Only registered guests may use the accommodation unless agreed in advance.

11. Spey Bay Golf Club Facilities

Our pods are located within the grounds of Spey Bay Golf Club, allowing guests to enjoy the unique setting and convenient access to the Club.

Use of the clubhouse and its facilities is subject to Spey Bay Golf Club's own opening hours, policies and availability. While we work closely with the Club, Spey Bay Pods cannot guarantee that all facilities will always be available during your stay, with the exception of washing and toilet facilities, which are accessible

12. Liability

Vehicles, bicycles, golf equipment and personal belongings remain the responsibility of their owners throughout their stay.

Spey Bay Pods accepts no liability for loss, theft or damage to personal property.

13. Force Majeure

We cannot accept responsibility for cancellations or interruptions caused by events beyond our reasonable control, including severe weather, flooding, power outages, government restrictions or other unforeseen circumstances.

14. Right to Refuse or Terminate a Booking

We reserve the right to refuse a booking or terminate a stay without refund where guests breach these Terms & Conditions or behave in a manner that causes damage, nuisance or risk to others.
